For trainees:
- full name
- date of birth
- nationality

- work or internship experience

- passport or identification details, if needed for the placement process

- information needed for travel, arrival or onboarding coordination
For farms and business contacts:
- name
- company name

- placement requirements

- booking or inquiry details
For website visitors:

- pages visited

- website usage data, depending on the cookies and tools used on the website
4. Why we collect personal data
We process personal data for the following purposes:
- to respond to inquiries
- to schedule calls or meetings
- to assess trainee suitability for a placement
- to coordinate communication between trainees, partner agencies and farms
- to support the placement process from selection to on-site start
- to support onboarding and practical follow-up
- to prepare documents needed for the placement process
- to keep farms informed about the status of a placement
- to manage agreements, invoices and administration
- to improve our website and services
- to comply with legal or administrative obligations
Legal basis for processing personal data
We only process personal data when we have a valid legal basis under the GDPR/AVG.
Depending on the situation, we may process personal data because:
- it is necessary to perform an agreement or take steps before entering into an agreement
- we have a legitimate interest in coordinating trainee placements and communicating with involved parties
- we have a legal obligation to keep certain records
- we have received consent, for example for certain cookies, newsletters or optional communication

How we use trainee data
Trainee data is used to understand the trainee’s background, education, experience, motivation and suitability for agricultural trainee placements.
We may share relevant trainee information with farms, partner agencies or institutions involved in the placement process.
We only share information that is necessary for the placement, preparation, communication, onboarding or administration.
How we use farm and business contact data
We use farm and business contact data to respond to inquiries, discuss placement needs, coordinate the process, provide updates and manage agreements.
We may keep business contact details for future communication if there is a relevant business relationship or legitimate interest.
Sharing personal data with third parties
CADEMBA may share personal data with third parties when this is necessary for the placement process or business operations.

Because CADEMBA works with trainees and partner agencies outside the European Union, personal data may be shared with parties outside the EU where necessary for the placement process.

How long we keep personal data
We do not keep personal data longer than necessary.
Retention periods depend on the purpose of processing.
We may keep:
- inquiry and contact data for as long as needed to respond and follow up
- trainee placement data for the duration of the placement process and a reasonable period afterward
- business administration records for the legally required retention period
- communication records for as long as needed to manage the relationship or handle possible questions or disputes
Where data is no longer needed, we will delete or anonymise it.

You also have the right to file a complaint with the Dutch Data Protection Authority, the Autoriteit Persoonsgegevens. The Dutch Data Protection Authority explains that the GDPR gives people privacy rights to stay in control of their personal data.
